Project management

For the purpose of management of project realization, implementation and supervision of the project, governing bodies that will be established are: Project Management Committee (PMC), Steering Committee (SC) and the Quality Assurance Committee (QAC).

Project Management Committee (PMC) will manage the implementation of the project activities and will ensure that they are executed at a scheduled time. The duty of this Committee is to govern the financial and legal aspects of the project. The project consortium consists of partners from the Western Balkans and the partner countries of the European Union and Macedonia. PMU will consist of the project coordinator and work package leaders and representatives of the universities from partner countries. For the preparatory work package, which will examine the state of soil resources in the aspect of prevention of erosion and the state of the prevention of torrential floods, a major role will belong to partners from the EU countries and Macedonia. They will transfer the acquired knowledge and experience which they involved in study programs at universities. PMU will be managed and lead by the project team and it will report to the Steering Committee during the realization of the project. PMC coordinator, in cooperation with other members will prepare regular meetings and records of meetings. The coordinator monitors the work of work packages leaders, while during the meetings PMC shall adopt their report on the progress of work.

Steering Committee (SC) is composed of representatives of all universities which are partners in the project. This project body is responsible for the operational, administrative and financial implementation of the project. SC is responsible for cooperation with the Education, Culture and Audiovisual Executive Agency (EACEA). SC president will be the University of Belgrade (UB).

The third body of the project, which will be formed is the Quality Assurance Committee (QAC). This committee will be responsible for the implementation of the quality plan and cooperation with the national Erasmus + Offices.

Activities

7.1 Project management meetings

The Project Management Meeting will be held 7 times during the implementation of the Project. The meetings will be organized by UB-Serbia, who are the WPL. In the work of the PMU, the work-package leaders and representatives of the other Project participants will participate. Minutes of Meeting will be adopted by the SC.

7.2 Steering committee meetings

The Steering Committee (SC) is composed of the representatives of all the universities that are the partners on the Project. During the Project implementation, the Steering Committee will have 6 meetings, in the periods of 6 months. The SC members will be adopting reports submitted by the PMU and QAC.

7.3 Guidelines on the reporting and correspondence

The manner in which Reports on Meetings of Project Authority/-ies are going to be prepared and the manner in which correspondence will be kept between the participants will be determined at the beginning of the Project implementation. On the basis of established rules, the PMU will create and adopt the Guidebook that will be binding for all the Project participants.

7.4 Day-to-day correspondence of project activities

Day-to-day correspondence enables the transfer of necessary information for the performance of the Project-related activities. Correspondence will be kept according to the adopted Guidebook, and WPL, UB-Serbia is responsible for successful communication.

7.5 Interim and finale report meeting

These meetings are envisaged to be held in the second and third years of the Project implementation, and there will be 4 meetings in total. The meetings are envisaged to be attended by the members of all the working bodies of the Project. UB-Serbia shall be responsible for the preparation of such meetings as well as for taking Minutes of Meeting Held.
